Many Windows 10 users have reported printer connectivity problems and an error that has put active printers offline, even when they are connected and fully functional.

The error usually occurs when talking about network printers, but home users with a direct connection to their printer have also complained.

We will solve this problem, like most other connection problems, because in most cases there is a simple explanation for the problem.

Note that different manufacturers have their own diagnostic software that can inform the user about problems that occur (think HP Print and Scan Doctor).

If your printer manufacturer has provided you with this feature, we recommend that you use it to its full extent. In most cases, it will point you in the right direction to find solutions to your problems.

Your printer may appear offline if it cannot communicate with your PC.

Here’s what you need to do to bring your printer back online

  • Make sure the printer is turned on and connected to the same Wi-Fi network as your PC. Your printer’s built-in menu should indicate which network it is connected to, or consult your printer manual for more information.
  • Make sure your printer is not in offline mode Use the printer. Select Start > Settings > Devices > Printers and Scanners. Then select Your Printer > Open Queue. Under Printers, make sure Use printer offline is not selected.

Check the Printer Connection

Offline printer status is the way your printer tells you that something is wrong with the communication between your computer and your printer, whether it is a USB cable or a network connection (wireless and wired). Therefore, one of the first things you check is the connection between your printer and your PC.

1) Turn your printer off and then on again to restart it. Wait a little while until it is fully operational.

2) Check the connection of your printer:

2.1) If your printer is connected with a USB cable: make sure that the cable of your printer is well connected. Then make sure that the cable is connected to your computer via a working USB port.

2.2) If your printer is connected via a wired network: Make sure your printer cable is connected to the Ethernet port. Then make sure that the connection of your printer to your router is working properly. Check that your printer’s network signal is flashing.

Note: Your printer may go offline if the connected cable is loose, too old, or broken; you may need to replace it.

2.3) If your printer is connected via a wireless network: Check your printer and make sure it is connected to your PC’s network. The wireless icon lit on your printer usually indicates that you are connected.

Performing Troubleshooting

If the problem occurs with the Windows printing subsystem, running the troubleshooter may help. You can run troubleshooting by following the steps in step 2 to access the Manage Printer Device screen. There you will find the “Run Troubleshooter” link. Click it to check the spooler’s service, network settings, and so on.

Troubleshooting usually works if the problem is Windows-related.
